for 150 people. Catering is arranged by our qualified

Function
Room Setup Examples
Rockhampton Conference Terms and Conditions
In order to ensure the success of your function, we ask you to read the
following guidelines carefully. We also ask that you confirm your booking
in writing by completing and signing all documents, and returning them
prior to the function.
Bookings and Guaranteed Numbers
The confirmation of the function must be in writing within 30 days of
the quote and at least 2 weeks prior to the function. The numbers of attendees
must be guaranteed 3-5 days prior to the function. Charges will be based
on the final number confirmed, or the number that attended on the day,
which ever is the greater. If you wish to increase the number of attendees
from the number originally booked we would appreciate being advised as
soon as possible to ensure we can accommodate your changes.
Catering
Please advise any menu selection changes and any special dietary requirements
if needed, as soon as known, but at least 5 days prior to the function.
Prices are current at the time of quotation but may be subject to change
at the manager’s discretion to meet rising costs. Upon receipt of written
confirmation and payment of the deposit, fixed prices will be confirmed
in writing if requested. Children are to be accounted for in confirmed
numbers if they are to eat. All prices are inclusive of GST.
Room and Labour Charges
Additional charges may apply in instances where the function has created
cleaning requirements which are considered to be over and above normal
cleaning. Guests must depart by the time specified when final arrangements
are made. A surcharge of 10% will apply to all charges excluding motel
accommodation on Public Holidays. We reserve the right to release any
accommodation rooms not confirmed 14 days prior to the event. Accommodation
cancelled with less than 1 full days notice will be charged at a cost
of 1 night’s accommodation, unless we can resell the room. In the event
of a ‘no show’, charges will be made to cover 1 night’s accommodation
for each room booked.
Payment
All event accounts are to be paid in full at least 3 days prior to the
function, unless a credit account is authorised. Any additional charges
are to be paid at the conclusion of the event. These additional charges
will include those not authorised in the original contract. All approved
credit arrangements require full payment within the time limit agreed
by us. We accept MasterCard, Visa, American Express, Diners Club, Eftpos,
and Direct Deposits.
Licence Regulations
No food or beverages are to be brought onto the licensed motel premises
during the event. Centrepoint Motor Inn is fully licensed between 12 midday
and 11pm. All functions must draw to a close by 11pm. Management reserves
the right to ask intoxicated or argumentative attendees to leave the premises.
Management also reserves all right to supply or not supply liquor and
beverages according to our responsibility under ‘Responsible Service of
Alcohol’ legislation. Management reserves the right to control music andnoise
levels at the event. Amplified music is permitted only in controlled circumstances.
Client Responsibility
It is the clients responsibility to ensure that all attendees behave in
an orderly manner during the event, and that they are responsible for
their own property. Children are to be supervised by parents/guardians
inside the hired room and on Centrepoint Motor Inn property. You are responsible
for any damages sustained to motel property including restaurant/function
room facilities and fittings during the event, whether through your own
actions or through the actions of your attendees. Placement of material
is not permitted on any wall or surface, excluding Blue Tac, but including
Tape, glue, nails, pins, etc. Charges will apply if we find it necessary
to return the premises to its original condition.
Inability to Provide Service
Should we be unable to provide the services reserved due to circumstances
beyond our control, no further claim other than entitlement to a full
refund of any deposits paid may be made. We will be pleased to arrange
a variety of additional services upon request, such as entertainment,
technical equipment, security etc. A charge may be incurred for some services.
If the function is cancelled, such services will be your responsibility
to pay.
Cancellation Policy
Cancellation of function rooms and/or accommodation must be advised in
writing. If a function is cancelled less than 3 full days before its commencement
the total estimated cost for catering and room hire will be charged to
the credit card provided. If accommodation is cancelled with less than
1 full days notice the room charges will be debited to the credit card
provided unless we are able to let out the rooms to other guests. Every
effort will be made to let out the rooms and charges will only apply if
we are unsuccessful in this endeavour.
